Our client is one of the world's largest publicly traded international oil and gas companies. They are actively looking for Administrative Assistant to join their operations.

 

Job Summary

  • To ensure that their client groups are supported appropriately through activities such as organizational logistics, expense administration, travel coordination, and event logistics.
  • Additionally, Assistants are responsible for building technological and foundational skills necessary to support decision making which may involve cross-cultural and high exposure clients internally, externally, and cross-functionally.

 

Responsibilities:

  • Provide guided administrative support to client group.
  • May be functional based role that supports mid-level managers and events with limited exposure.
  • May support executing or overseeing key processes for a broader team rather than general, individualized support.
  • Develop foundational skills and knowledge to execute tasks and utilize technology.
  • Build skills by identifying resources.
  • Learn about the business through mentoring relationships and asking questions.
  • Manage expense reports, invoices, time writing, and time keeping
  • Coordinate scheduling of meetings and events
  • Process personnel logistics activities including org charts and communication
  • Manage office logistics and supplies, including but not limited to stationery, snacks, uniform, PPE and equipment
  • Make travel arrangements as necessary
  • May support a key process for a broader team or organization
  • Perform purchase requisition creating and other transactions on EM platforms, including but not limited to SAP, accrual posting, KPA flex, workforce report, capex/opex report and stewardship deck preparation
  • Follow up on Purchase Request/ PO/ LVPO creation and inform vendors once ready
  • Follow up on invoices and vendor payment status as necessary
  • Coordinate air freight and mail as necessary
  • Book training slots for personnel as necessary
  • Safety Fire warden during Emergency Response
  • WebCAT administrator and Enablon Power User
  • AP Polaris Power User as required

 

Requirements:

  • Excellent verbal and written communication skills, MS Office (Word, Excel and PowerPoint) and email systems, typing and dictation, excellent administrative coordination abilities, customer service experience
