Job Responsibilities:

  • Administrative Support

    • Manage day-to-day office operations including scheduling, correspondence, and documentation

    • Maintain accurate records of inventory, purchase orders, and supplier contracts

    • Prepare reports, presentations, and meeting minutes for management

  • Customer & Vendor Coordination

    • Handle client inquiries, quotations, and order processing for scientific instruments and consumables

    • Liaise with suppliers, logistics providers, and service partners to ensure timely delivery and installation

    • Support sales and technical teams in coordinating product demonstrations and client visits

  • Finance & Compliance

    • Assist with invoicing, payment tracking, and expense reporting

    • Ensure compliance with company policies, industry standards, and regulatory requirements (e.g., import/export documentation for scientific equipment)

  • Office & Team Support

    • Oversee office supplies, equipment maintenance, and facility management

    • Coordinate staff travel arrangements, training schedules, and internal events

    • Support HR functions including onboarding, attendance tracking, and employee engagement initiatives

Requirements:

  • Diploma/Degree in Business Administration or related field

  • Prior experience in office administration, preferably in a scientific/technical industry

  • Strong organizational and multitasking skills with attention to detail

  • Proficiency in MS Office and CRM/ERP systems

  • Excellent communication and interpersonal skills to work with clients, suppliers, and internal teams

  • Ability to adapt in a dynamic environment and support both operational and technical functions
