Job Responsibilities:

Administrative Support

Manage day-to-day office operations including scheduling, correspondence, and documentation

Maintain accurate records of inventory, purchase orders, and supplier contracts

Prepare reports, presentations, and meeting minutes for management

Customer & Vendor Coordination

Handle client inquiries, quotations, and order processing for scientific instruments and consumables

Liaise with suppliers, logistics providers, and service partners to ensure timely delivery and installation

Support sales and technical teams in coordinating product demonstrations and client visits

Finance & Compliance

Assist with invoicing, payment tracking, and expense reporting

Ensure compliance with company policies, industry standards, and regulatory requirements (e.g., import/export documentation for scientific equipment)

Office & Team Support

Oversee office supplies, equipment maintenance, and facility management

Coordinate staff travel arrangements, training schedules, and internal events

Support HR functions including onboarding, attendance tracking, and employee engagement initiatives

Requirements:

Diploma/Degree in Business Administration or related field
-
Prior experience in office administration, preferably in a scientific/technical industry

Strong organizational and multitasking skills with attention to detail

Proficiency in MS Office and CRM/ERP systems

Excellent communication and interpersonal skills to work with clients, suppliers, and internal teams

Ability to adapt in a dynamic environment and support both operational and technical functions
