Job Description
Provide professional, confidential and executive secretarial support to the Group CEO and C-suite team and efficiently manage the daily operations of the Group corporate office.

  • Calendar management (e.g. scheduling, gate keeping and updating calendars);
  • Coordinating meetings, including across multiple participants and time zones;
  • Location management, such as meeting room and table reservations;
  • End to end travel coordination for the client C-Suite Team, including coordinating transportation, accommodation and visas;
  • Document and data handling (e.g. filing, archiving, distribution, collection, editing, signing coordination);
  • Management of expenses and performing basic book-keeping (e.g. invoice submission and tracking, claims submission);
  • Sorting through incoming correspondence via mail, email or any other media;
  • Note taking and preparing meeting minutes;
  • IT related logistics such as maintaining the database and shared folders for the client C-Suite Team; and
  • Office setup for the client C-Suite Team; and providing such other support to the Company and the client C-Suite Team on an ad-hoc basis as may be required from time to time, including:
  • Vendor sourcing and coordination, including with respect to media, advertising and research agencies;
  • Coordinating contract review with external legal counsel (e.g. non-disclosure agreements, contracts and engagement letters);
  • Producing and editing reports and presentations;
  • Performing routine reporting (e.g. CRM / financial data);
  • Web and social media content administration;
  • Assistance on managing key projects and deliverables (e.g. coordination, follow-ups, reminders); and
  • Performing research tasks such as competitor or market research, cold calling or mystery shopping;



Requirement

  • Minimum 5 years' experience as a C-suite EA.
  • Ability to work independently with minimal supervision, as well as in a team environment.
  • Ability to manage and prioritise internal and external demands on the C-level time.
  • High accuracy and attention to detail, particularly in the management of the C-level's diary and communications.
  • Highly developed interpersonal and negotiation skills with proven ability to build effective relationships throughout the organisation.
  • Diplomatic, discrete and able to keep confidentiality at all times.
  • Highly developed planning and organising skills; excellent written and strong verbal communication.
  • Proven ability to resolve issues appropriately.
  • Experience attending and preparing agendas for meetings and minute taking.
  • Experience in coordinating office systems and procedures, including sourcing and negotiating with vendors and contractors.
  • Strong working knowledge of MS office suites.
  • Flexibility and adaptability to juggle a range of different tasks and to work extra hours and out of office hours to meet deadlines.
  • Experience in a multi-national organisation with expats of diverse backgrounds
