Receptionist Duties

  • Check for Record Retention for Temperature Record (AM & PM) - employees & visitors
  • Manage the Self-Declaration Record - employees & visitors
  • Check employees who enters the office, are on the list of returning employees and are coming in on the correct day
  • Greet visitors and direct them to the appropriate offices
  • Answers phone calls and transfers them as necessary
  • Photocopy and file appropriate documents as needed
  • Arrange meetings by scheduling appropriate meeting times, booking rooms, and planning refreshments
  • Manage correspondence by answering emails and sorting mail
  • Assist in planning and arranging events, including organising catering
  • Manage reception area and look after visitors
  • Maintain stock lists and order office supplies as needed
  • Assist in purchase orders and invoicing
  • Manage outgoing post and record data on office deliveries



Safety Management Duties

  • Coordinate implementation of Safe Management Measures, which includes identifying relevant risks, recommending and assisting in implementing measures to mitigate the risks, and communicating the measures to all personnel working in the workplace.
  • Conduct inspections and checks to ensure compliance at all times and to report and document any non-compliance found during the inspections.
  • Take immediate action to remedy any non-compliance found during the inspections and checks.
  • Keep records of inspections and checks conducted and corrective actions taken. The records shall be made available upon request by a Government inspector.
  • Provide support to Singapore Country Council on all other matters in relation to Safety, EHS and BCP.



Skills and Qualifications:

  • 1 - 2 years of relevant working experience preferred
  • Candidates with no experience are welcome to apply
  • Excellent customer service skills
  • Good communications skills
  • Meticulous and attention to detail
  • 12-months contract (renewable/convertible after performance review)
