Office Administration / Facility Management:
• Ensure reception area is tidy and presentable at all times.
• Greet guests and visitors with a positive, helpful attitude. Ensure receiving party is notified promptly on guests/visitors’ arrival.
• Register guests to access to GMT building and office with QR code
• Answer and screen phone calls in a professional manner, and routing calls as necessary.
• Ensure daily cleanliness and tidiness at front-of-the-house area including meeting rooms, bar and visitors waiting area.
• Meeting rooms setup including rearrangement of furniture when necessary, including set up of bar areas for workshop/ training/ townhall / events etc.
• Receive, sort and distribute mails/deliveries. Co-ordinate in and out-going mail including courier services.
• Handling of Staff Sales & Purchases, including creation of Purchase Order in SAP if necessary. If required, it will be under my care and provide her all the details GL, cost center etc, they just need to help me to key in the details. I still can make amendment before I approve in the system.
• Ensure coverage of reception duties on planned leave of absence. During her absence, I will take over her duties.
• Handling of outdated magazines and distributions at reception area and bar.
• Helping with our EAs/PA in organizing drivers, hotel booking, booking of restaurants etc if needed
