• Answering phone calls from mainline and return missed calls when available (both internal and external). 

• Reading and replying emails from internal receptionist mailbox.

• Attend to guests, direct them to meeting room, offer drinks, and inform our staff on arrival of guests.

• Manage meeting room booking system including:
- Booking of meeting room for last minute requests where applicable
- Monitor meeting schedules and inform staff when their guest(s) arrive
- Prepare water five (5) minutes in advance for group meetings or for guests
- Keep meeting rooms and reception counter neat and clean (e.g.: clear glasses/cups, push in chairs and ensure lights and projectors are off)

• Open office letterbox daily from B2 of DUO Tower and sort mails into respective department pigeon holes in office mail room

• Manage incoming & outgoing couriers Incoming Couriers:
- Receive and separate package(s) to respective department pigeon holes in office mail room
- For DHL and Courier Coverage – Email respective staff upon receipt of package(s) Outgoing Couriers:
- Slot courier slip into respective department pigeon holes in office mail room after collection is complete.

• Assist Office Manager in ordering and receiving office stationery, pantry supplies, papers and other office supplies; includes but not limited to ordering for Fruits Day, Nespresso Capsules, Canon Copier Toners, Newspapers, etc.

• Other office administration tasks as and when required. Including but not limited to: distributing newspapers in the office, issuing of temporary office access cards, updating of office telephone list, purchasing of postage stamps and mailing registered mail.
