Job Title: APAC Event Coordinator
Employment Type: Contract, 12 months renewable
Working Hours: 9am - 5pm (Must be willing to work extended/irregular hours during event periods)

Job Summary
We are seeking a highly organized, detail-oriented, and creative Event Manager to lead the planning and execution of end-to-end events ranging from small to large scale. The ideal candidate is a calm, solutions-oriented professional who can manage multiple projects concurrently while delivering seamless, high-quality experiences that align with business objectives.
Key Responsibilities
1. Event Planning & Project Management
- Develop and manage comprehensive event project plans, timelines, workflows, and detailed checklists.
- Coordinate pre-event planning, on-site execution, and post-event wrap-up.
- Oversee logistics such as venue sourcing, vendor management, program flow, and stakeholder coordination.
2. Organizational & Time Management
- Manage multiple events simultaneously while maintaining meticulous attention to detail.
- Consistently meet deadlines and ensure smooth event flow from planning through execution.
3. Communication & Stakeholder Engagement
- Communicate clearly and professionally with internal teams, vendors, and leadership.
- Translate event needs into actionable plans
- Build and maintain positive relationships with stakeholders.
- Negotiate effectively to secure favorable terms and partnerships.
4. Problem-Solving & Adaptability
- Respond quickly and effectively to unexpected challenges and last-minute changes.
- Maintain composure under pressure and proactively anticipate risks.
- Develop contingency plans (Plan B, C, etc.) to ensure seamless delivery.
5. Budget & Financial Management
- Create and manage event budgets, including cost forecasting and expense tracking.
- Identify cost-optimization opportunities without compromising event quality.
6. Creativity & Experience Design

Generate creative event concepts, themes, and program elements aligned with business goals.

Ensure high-quality execution with attention to detail across all touchpoints.
Job Requirements
Experience & Qualifications

Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field — or equivalent proven experience.

Minimum 5 years of progressive event planning experience.

Demonstrated success managing multiple large-scale events

Ability to present a portfolio and provide verifiable references for past events (e.g., B2B conferences, hybrid events, webinars, internal workshops).
Technical Skills

Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar).

Ability to manage complex checklists across multiple concurrent events.

Familiarity with event and registration platforms such as ON24 and Rainfocus.
Interpersonal & Operational Skills
- Exceptional written and verbal communication skills.
- Ability to lead discussions and present confidently to leadership.
- Able to adapt under tight timelines and budget constraints.
- High level of professionalism, especially under pressure.
Working Conditions
- Required to be in the office at least 4 days per week.
- Must be willing to work evenings, weekends, and some public holidays during intensive event periods
- Open to travelling for work
