IT Event Planning & Project Management

  • Oversee the development, planning, implementation, and support of technology solutions for assigned events and programs.
  • Serve as a trusted advisor to clients by recommending event technology best practices, digital engagement solutions, and operational efficiencies.
  • Manage project timelines, budgets, resources, risks, and deliverables throughout the event lifecycle.
  • Collaborate with stakeholders to identify technical requirements and ensure successful delivery of event objectives.
  • Lead project meetings, technical briefings, and post-event reviews.
  • Develop contingency plans and risk mitigation strategies for all technology-related activities.
  • Ensure compliance with organizational IT governance, security, and data privacy policies.

Event Technology & Digital Platform Management

  • Configure, manage, and support event management platforms, registration systems, mobile event applications, and virtual/hybrid event technologies.
  • Coordinate integrations between event platforms, CRM systems, marketing automation tools, and reporting solutions.
  • Manage attendee registration systems, online communications, event websites, and digital content platforms.
  • Oversee deployment and testing of audiovisual systems, live streaming, video conferencing, networking infrastructure, and collaboration tools.
  • Monitor platform performance and resolve technical issues before and during events.
  • Provide onsite and remote technical support for speakers, attendees, and stakeholders.

Vendor & Technology Sourcing

  • Evaluate, source, negotiate, and contract technology vendors, software providers, and managed service partners.
  • Conduct technical assessments and prepare comparative analyses of solutions and vendors.
  • Manage Request for Proposal (RFP) processes and vendor selection activities.
  • Ensure vendors meet service level agreements, security standards, and project requirements.
  • Maintain strategic relationships with technology providers and suppliers.

Budget & Financial Management

  • Manage project and technology budgets throughout the planning and execution phases.
  • Track software licensing, vendor costs, hardware rentals, support services, and project expenditures.
  • Communicate financial updates and cost-saving opportunities to stakeholders.
  • Review vendor invoices and ensure accurate billing and payment processing.

Data Management & Reporting

  • Maintain data integrity across event management systems and reporting platforms.
  • Generate operational, attendance, engagement, and performance reports.
  • Ensure accurate data reconciliation, user management, and audit compliance.
  • Analyze event metrics and provide recommendations for continuous improvement.
  • Protect confidential client and company information in accordance with data privacy requirements.

Minimum Qualifications:

  • Diploma or Degree in Information Technology, Computer Science, Information Systems, Business Technology, or a related discipline.
  • Minimum 3 years of experience in IT project management, event technology, digital platforms, or technical operations.
  • Minimum 3 years of stakeholder or client management experience.
  • Experience supporting virtual, hybrid, and in-person event technologies.
  • Experience managing third-party technology vendors and service providers.
  • Understanding of IT infrastructure, software applications, and digital collaboration tools.
  • Proficiency in Microsoft Office 365 applications.
