Key Responsibilities
General Operations
- Assist in developing and updating SOPs for procurement and facility operations.
- Support budget preparation and monitor expenditures for equipment and service contracts.
- Prepare monthly KPI and governance reports for management.
- Maintain accurate records of fixed and minor assets.
Facility Management
- Coordinate new centre setups, renovations, and repairs with minimal disruption.
- Support procurement and maintenance of medical and office equipment (e.g., dialysis chairs, medical fridges).
- Implement and maintain facility systems and protocols.
- Conduct regular inspections, manage emergency responses, and ensure contract renewals.
- Coordinate fire safety plans and drills.
Procurement & Tender
- Assist in end-to-end tender processes and ensure compliance with governance policies.
- Support procurement planning, supplier sourcing, and cost-saving initiatives.
- Implement procurement systems and identify process improvements.
- Analyze requirements for centralized procurement and vendor consolidation.
Vendor Management
- Manage supplier performance reviews and maintain the approved vendor list.
- Negotiate with vendors for better terms and ensure timely service delivery.
- Collaborate with contractors for installations, maintenance, and repairs.
Requirements
- Diploma or Degree in Business Administration, Facilities Management, Supply Chain, or related field.
- At least 2-3 years of relevant experience in operations, procurement, or facilities.
- Able to work independently and respond to emergencies outside office hours when needed.
- Proficient in Microsoft Office and familiar with procurement or facility management systems.
