Job Responsibilities

  • Co-ordinate closely with Ship Managers/Operators and various interested parties to ensure compliance to the Group policies and procedures and ensure utmost operational readiness of vessels at all times.
  • Close monitoring of vessels' performance against charter party terms and conditions, and operational readiness.
  • Perform weekly supply-demand plans in coordination with Trading, including preparing and disseminating vessel ternaries and schedules, to optimize transportation costs.
  • Preparing and issue voyage instructions to vessel Master in accordance with recap of main terms agreed / charter party.
  • Appointing port agents and managing port disbursements
  • Monitoring both cargo & berth availability, port congestion and vessel utilization
  • Prepare and conclude laytime statements and computations.
  • Resolve disputes relating to the voyage. The Vessel Operator is usually responsible for Bills of Lading, manifests and provision of Letters of Indemnity.
  • Work closely with Chartering Department and provide voyage evaluations/voyage estimates / freight simulations and optimizations studies in accordance with established operational procedures.
  • Work closely with Accounts Department, specifically about charter hire collection and commission payments, and other related financial matters.
  • Work closely with HSE Department. Contribute and participate in all HSE matters as most appropriate that are in line with the Company's HSE policy.
  • Carry out vessel / port visits as required. Brief and de-brief Masters and crew on commercial and operational issues.
  • Prepare operational review presentations to Fleet Manager / Head of Shipping & Operations for periodic debriefing with Owners/Operators/Ship managers as necessary.
  • Provide reports and analysis on productivity with corrective/preventive actions to the Fleet Manager / Head of Shipping & Operations to support tactical decisions of the commercial operations of the fleet and to offer advice to the benefit of the trading result and the effectiveness of the execution of the commercial contracts
  • Preparing cargo / hire / freight claims according to charter party.
  • Prepare budgets and forecasts, and coordinate accordingly with Trading and Finance
  • Assist the Chartering Manager in effecting the various types of insurance covers that are required.
  • Coordinate with Ship managers / Owners / Operators on supply of stores, spare parts, repair services required and dry docking plans
  • Respond to urgent / emergency situations with immediate reporting to Chartering Manager and support crisis management teams.
  • Update and maintain system inputs into JDE and IMOS.
