Job Scope:
Assistant to Director of System Application Engineering Division and department admin comprising of at least 5 Managers and more than 40 professional engineers in the South East Asia region

  • Coordinate meetings, book rooms, order refreshments, handle visiting partners, suppliers and executives.
  • Manage travel for Director and Senior Managers (coordinate itineraries with overseas assistants and/or business partners, arrange travel)
  • Liaise with other admin assistants across the rest of the Singapore operations team and with other admins in Asia, Europe and USA
  • Manage and track department local discretionary spending, assist employees with understanding of policies and procedures.
  • Keep track of department travel costs: international and local
  • Provide training administration and coordination support to Company's customers. Ensure proper record keeping and timely generation of monthly report to training manager.

Division Admin support: - Provide support in Singapore, Malaysia and Philippines.

  • Meeting arrangements, Travel arrangements for department staffs.
  • Provide logistical support for shipping of equipment to and from the regional countries.
  • Processing of newly hired SAE into the organization such as laptops, setup of accounts etc.
  • Verification of the team's expense report so as to ensure accuracy when it reaches finance
  • Process the payment for purchasing equipment or services e.g. printing services.
  • Participates in projects and company level admin activities.
  • Compiling the tracking of the competitive installed base.
  • Provide occasional support at technical seminar in the region.

Education Center (EC) Admin: Responsible for all admin aspects of the Education Center such as :-

  • Schedule courses, assign instructors and publish the training calendar.
  • Process training request - registration, quotation, purchase order, invoice
  • Prepare class logistics (e.g. room, training materials, lab kit, equipment, refreshments, survey form)
  • Coordinate instructor qualification for new courses or improve instructor availability by qualifying new instructors to meet training demand.
  • Provide logistics support for on-site training (e.g. shipping of training materials and lab kit, arrange instructor travel, etc.)
  • Maintain training records and customer feedback, generate monthly report to training manager

Requirements:

  • At least "A" Level education and ABOVE.

Additional Information:

  • Salary - Up to S$4.3K per month
  • Contract duration: 12-month contract
