Admin Specialist (Logistics & Maritime) UP TO $4000 needed urgently!! Walking distance from MRT

Responsibilities

• Manage and maintain the filing of emails, documents, quotations according to the company guidelines.
• Maintain and update all excel data sheets and files.
• Send request for quotations to agents (Port visits, RFIs, and other projects).
• Prepare the daily reconciliation form for the port visit and forward it to the agents.
• Ensure all pre arrival documents are kept up to date for every port (Pre-arrival Sheet, Port information, Emergency numbers, PoC forms, Phone number lists).
• Ensure all required pre arrival documents are provided to the Agent prior to ship arrival (Masters Declaration, Covid waver, on - signer/off- signer info)
• Ensure all required post arrival documents are provided to the Agent (QAF, QS)
• Acknowledging customer emails and all administrative correspondence with agents/vendors.
• Visiting ships in port when needed.
• Handling administrative paperwork/processes for the office daily running and acting as a coordinator for local Administrations, local authorities.
• Ensure office is well maintained, ensure Stationnary purchases
