Responsibilities
Procurement

  • Main interface for procurement activities between sourcing platform and corporate office
  • Responsible for the full spectrum of order processing and management of purchase order in SAP such as issuance of Purchase Order and Goods Receipt/Issue etc
  • Manage suppliers for on-time delivery and quality products
  • Assist in negotiation with suppliers to pull in / push out delivery to ensure fulfilment of customers' orders
  • Work closely with internal departments on delivery lead time, shipment and logistics arrangements to meet the requirements of customers
  • Liaise with customers, freight forwarders, suppliers and warehouse personnel regarding shipment and logistics arrangements
  • Invoice management including resolution of invoice discrepancies with suppliers
  • Assist in auditing and stock taking
  • Maintain and file systematically all purchase order related documents


Business Support

  • Handle all administration and office matters (refer to Appendix A) which includes and not limited to the following:
  • Manage travel arrangements including air ticketing, hotel arrangements, visa applications etc.
  • Coordinate, organize and host internal and external meetings, trainings and activities on a local or APAC scale
  • HR matters such as leave administration, organization chart, employee onboarding etc.
  • Coordination of contracts, tender and legal documents
  • Cyber security ambassador, provide IT and networking support
  • Point of contact for employee/company insurance matters
  • Attend to incoming calls and visitors
  • Manage the day-to-day operations of a variety of office services to ensure that the organization's current and future administrative needs are met efficiently, reliably and economically
  • Involve in office facilities/equipment, maintenance and office set up
  • Lead office improvement and renovation projects when required
  • Source, evaluate, and recommend office supplies and equipment purchases to minimize costs
  • Document and compile processes
  • Backup for Customer Service/Procurement
  • Any other related/ad-hoc duties or projects as needed



Requirements

  • Minimum Diploma in Business/Supply Chain or equivalent
  • Min. 3 to 5 years' experience in sales support/admin/procurement role in the APAC or local region
  • Good working knowledge of MRP and proficiency with SAP
  • Experience in collaborating with cross-functional teams in a matrix environment
  • Meticulous, organized and able to work independently
  • Ability to multi-task and work under pressure to meet deadlines
  • Proficient in MS Office (Excel, PowerPoint and Word)
  • Effective (written and verbal) communication and interpersonal skills, and able to interact with people of all levels
  • Experience in Customer Service and/or IT & office administration would be advantageous
  • Maintain appropriate discretion in handling confidential information/issues
