HR Shared Services Coordinator

This position reports to the Manager / Team Lead, HR Shared Services at the organisation's R&D India location. HR Shared Services Coordinator role with the responsibility of providing timely, specific information and support to the employees related to Human Resources and related administrative support and follow-up.

Job Description
The HR Shared Services Coordinator will be part of our APAC HR Shared Services team. The APAC HR Shared Services team is the front-line contact for all employee and manager questions (how to for Singapore E.P., benefits, new hires, compensation, performance development, talent acquisition, training, references, and employee records). The team provides transactional & administrative support and works to drive process simplification, standardization & documentation across the organisation.

Roles and Responsibilities

  • Serving as a first HR point of contact for all employee and manager enquiries
  • Submit new foreign worker pass (E-Pass or S-Pass) requests in Manpower system including payment via corporate card with expense submission in Concur
  • Submit new D-pass requests in Manpower system including payment via corporate card with expense submission in Concur
  • Submit foreign worker + D-Pass renewals in Manpower system including payment via corporate card with expense submission in Concur
  • Cancel foreign worker pass in Manpower system
  • Export report from in Manpower system to be sent to AskHR to process the S-Pass foreign worker levy (monthly)
  • Issuance of E-Pass once the new or renewed work pass application is successful
  • Checking on the Manpower system on the status of all applications and sharing all the updates received from Manpower system
  • Submit new Long Term Visit Pass requests in Manpower system including payment via corporate card with expense submission in Concur
  • Submit Short-Term Visit Pass (STVP) requests
  • Submitting appeal if needed when the pass application/ renewal is unsuccessful
  • *MOM - Request for time to get the pass issued/renewed or send pass holder home form
  • Responding to employee and manager enquiries through our centralized HR Case Management system
  • Administration of employment changes; transfer, promotion and ad hoc changes to include the issuance of supporting documentation, HRIS update and payroll processing
  • Support offer letters creation and routing for signature
  • Assist with payroll administration as required
  • Set up and maintain HR personnel files
  • Assist with administration of benefits
  • Ownership of Leaver process
  • Participate and contribute to HR projects as required
  • Update HRSS documents and processes as required
  • Provide general HR Administrative support as required

    Qualifications (knowledge, skills, abilities)
  • Bachelor's degree or equivalent.
  • 1-2 years business experience and exposure to employee documents and data
  • High level of discretion, ability to maintain confidentiality and professional maturity
  • Excellent attention to detail
  • Customer service and communication skills
  • Organization skills and ability to prioritize competing tasks
  • Administrative skills and experience following processes and documentation
  • Experience with Microsoft office (Word, Excel, PPT, Outlook) and exposure to other business applications

    Basic Requirements:
  • HR or Business qualification with a HR component at degree level
  • Work Experience: 1 - 2 years in a similar HR role
  • Ability to handle high volume of employee contacts daily while maintaining a positive attitude
  • Customer service skills
  • High level of focus and attention to detail and accuracy
  • Personable, able to comfortably deal with a variety of people

  • Self-starter with demonstrated examples of using own initiative to drive change
  • High personal integrity required in handling confidential information
  • Ability to work effectively in multi-cultural and cross-functional teams
  • Excellent time management and organizational skills
