HR / Admin Executive
Job Responsibilities

  • Design and update job description;
  • Advertise job openings on relevant website, and source potential candidates from various online channels;
  • Update employee handbook and policy, and other HR documents current;
  • Screen incoming resumes and application forms;
  • Administer or change benefits, health plans, government paid leave;
  • Issuing Letter of Offer/Intent/Employment to the selected candidate;
  • Review, update and maintain proper filing such as employees' medical, company's insurance policies;
  • Conduct orientation program and briefing and exit interview for employee, including basic IT setup, and handing/taking over for exiting employee.
  • Maintain and update all employees' personal records and files;
  • Prepare monthly HR report;
  • Admin work (e.g. answer calls, setup meeting, manage COVID related measures, office vendor management, run errands, calendar time management for directors, copy and scan documents, mail and courier service, office supplies order)
  • Any other ad hoc duties required by management


  • Research, propose and setup a HRMS within 3 months, including all employees' personal records and file
  • Setup/Maintain HR policies - onboarding and exit form, employee handbook update, WFH policy (TAFEP), employee expense claim, NDA, PDPA, travel guideline, job description for existing and new employees, pay range research, performance appraisal, annual leave record, training and development for staff based on their profession, preparation and issuance of appointment letters
  • Setup HR report - monthly HR KPI
  • Interview - screen resumes and candidates for interviews
  • Orientation - setup new laptop for new employees, and company background
  • Group Insurance - manage the group insurance
  • Government claims - childcare leave claims for staff
  • COVID Management - Record and manage ART test for all employees
  • Annual Dinner
  • Employee travel arrangement e.g. VISA
  • Group insurance claims arrangement with insurance agent


  • Management meeting - setup conference room, including IT setup, drinks, markers
  • Office vendor management - source for appropriate vendors based on project requirement
  • Calendar time management and answer calls - when EA is not available
  • Share documents on G: drive from WhatsApp
  • Mail and courier service
  • Office supplies order
  • Support and organise corporate communication initiatives for internal department communication needs e.g. write, proof read and edit letters or emails, and prepare powerpoint slides.
  • Verify employee claims and send to Finance for processing
  • Employment passes maintenance and application, if required
  • Assist with IT basic troubleshooting
