The Singapore Meetings & Events team manages over 130 events per year, for employees of the company, held at external venues, which range from training events for 10 people up to the annual office-wide events for over 700 people.
The events include small dinners, lunch bookings in exclusive private dining rooms, training sessions, office wide meetings, office wide cocktail events, community BBQ's, graduate functions and many other events.
In this specific role, the Meetings & Events Analyst involves taking that original brief from the beginning to seeing the event through to the end (listen to the brief, research, venue sourcing, negotiation, logistics, financial admin, budget planning, communication management, reconciliation & closing of event).
Responsibilities:
- Oversee end-to-end event planning and execution, from initial brief to post-event reconciliation.
- Ensure adherence to company policies, including legal, insurance, health, and safety requirements.
- Provide advisory services to mitigate costs and encourage internal venue use where feasible.
- Act as the primary liaison with clients and vendors for all event-related activities.
- Source venues based on client briefs and budgets, and negotiate rates and terms with suppliers.
- Manage event logistics, including catering, AV setups, run sheets, and floor plans.
- Handle budget creation, approvals, expense reconciliation, and financial administration.
- Coordinate payments and invoices, ensuring timely processing and proper allocation.
- Manage communications, RSVPs, and marketing collateral using internal tools and platforms.
- Offer off-site support for events and collaborate with stakeholders to streamline processes.
- Assist in internal communications ideation and delivery, providing solutions to optimize event programs.
Requirements:
- Diploma or Degree in Event Management or a related field.
- 1-3 years of event management experience, preferably with a hotel/catering background.
- Experience in corporate environments and project/program management.
- Knowledge of restaurants/venues in Singapore.
- Budget management and financial reporting expertise.
- Excellent organizational, interpersonal, and time management skills.
- Proficiency in Microsoft Office applications and job-specific tools like SharePoint and Cvent.
- Excellent customer service and stakeholder relationship management abilities.
